Position Overview: Provide communications and operational support for the artistic activities of the theatre. This hourly part-time (up to 20 hours per week) position reports to both the Executive and Artistic directors. It works closely with all departments, with particular focus on company management involving artistic and technical staff, and assistance to the Artistic Director with casting and the execution of special events.


Responsibilities:

  • Execute company management duties, serving as main point of contact for the companies of all productions/events including Mainstage, Porchlight Revisits, New Faces Sing Broadway and other performance-related events

Create/maintain folders on drive  to collect all information/resources for each production; manage access

Create individualized welcome/info packet and attend Meet & Greets in person to review policies

Execute and ensure timely return of all artist and technician agreements/contracts and other paperwork

Distribute rehearsal materials in an efficient and trackable manner; make additional copies of materials as needed; collect materials and return per deadlines

Maintain online Contract Log with accurate info on payment amounts/dates, contact info, and scheduled absences

Create production Contact Sheets and share among all company members at appropriate times; keep active Contact Sheets updated

Ensure bios and headshots are received and shared with appropriate staff on the drive

Coordinate with bookkeeper to ensure paychecks are ready as needed; distribute paychecks per deadlines; coordinate with SM to get any hourly/overtime info

Order Saturday company dinners and provide order info to Audience Services

Create (with designer and outside apparel vendor), sell and distribute production-specific apparel for individual mainstage companies (available for order at start of rehearsals) and consult with marketing and audience services on potential further distribution to public in each case; distribute PMT logo swag

  • Contribute to the company’s program marketing and institutional marketing (branding), including:

Schedule and coordinate cast promotional appearances and events

Schedule and coordinate production-related photo shoots including communicating with cast, photographer, SM/designers (as needed); assisting AD with art direction; securing location if needed

Create and execute all “live” social media events for artistic programming, working cooperatively with marketing team

Manage supply and sales of PMT logo and show-specific merchandise

  • Provide support to the Artistic Director in casting and other artistic activities

Coordinate all logistics for auditions, including posting notices, setting up/monitoring online audition signups, scheduling monitors, hiring accompanist, oversee audition-room setups, etc.

Communicate with directors, music directors, etc. to gather/create sides, character descriptions and breakdowns for auditions

Communicate with all artists in the pursuit of hiring including invitations to audition, notification and scheduling of callbacks, notice of release, etc.

Serve as liaison between artistic, production, and administration for the hiring of actors/personnel

Maintain resume and headshot and personal information files for all artists and technicians
